In your Address Book, you can store your personal and business contact's names, addresses, telephone numbers and free-form textual information. The Address Book has powerful features that allow you to find the information you need quickly, such as multi-field searching, full-text searching, sorting and filtering. In addition to your own personal Address Book, ConnectivEmail allows your Systems Administrator to create "Group" Address Books. Group Address Books are just like your personal Address Book, except they are designed to be shared by multiple people at the same time. For example, you may have a Firm Address Book that contains the names, addresses and telephone numbers of everyone in your office. When selected, you are presented with the first "card" in your Address Book. To view a different card, use the PageUp or PageDown keys or select the Find button to quickly locate a particular entry. Button Description ßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßß List Select this button if you'd like to view your Address Book data in a tabular, or list format. When selected, a listbox window displays, where you can use the Up and Down arrow keys to quickly move through the entries in your Address Book. Find Choose this button to locate a particular card in your Address Book. When selected, the Find dialogue displays, where you can type in text you want to locate. Two types of searches are available from the displayed dialogue: Indexed and Full-Text. An indexed search is the faster of the two, since it uses the current open index file to locate the specified text. If you are currently sorted by Last Name, the Last Name index is searched. If you are sorted by Company, the Company index is searched. Full-Text searching starts at the current card location, and checks each card for any instance of the specified text. It does not matter which field the information is located, even the free-form textual notes. Notes Each of your Address Book entries can contain a free-form text note, where you can type anything you like. When selected, an editor windows displays any current text, where you can make any desired changes. Add Choose this button if you'd like to create a new Address Book entry. You are prompted with a Yes/No confirmation dialogue when selected. Delete Select this button to remove the current Address Book entry. A Yes/No dialogue box displays to confirm your action. Note that when you choose to delete an Address Book entry, the record is merely marked for deletion, and the Status field is updated to denote the record status. The record is physically removed when your Systems Administrator runs the Pack Mailbox routine. You can recall a deleted entry by choosing the Delete button while a deleted entry displays. However, once your Systems Administrator runs the Pack Mailboxes routine, the entry is deleted forever from the file. Edit Choose this button to make changes to the currently displayed entry. When selected, you are placed in the first editing field, where you can type your changes. Note that while editing an entry, some buttons are made unavailable until you save your changes. Options Select this button to view additional choices available to you while viewing your Address Book, such as Filtering, Export, etc. Quit Choose this button to leave the Address Book and return to ConnectivEmail's Main Menu. Address Book Options Menu ßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßß Copy Select this item if you'd like to copy the current Address Book entry to another user or group on your network. When selected, you are prompted to type the User or Group name. When complete, the current entry is copied into the specified user's Address Book. Duplicate Choose this item to make a copy of the current Address Book entry. You are prompted with a Yes/No confirmation dialogue to confirm your intention. You can choose from the displayed output format types, and your Address Book information will be exported to the specified filename. Filter Select this item to "filter out" unwanted entries. A Filter allows you to specify which entries appear in your Address Book. For example, you might create a Filter that says: "Show only those records where the City is 'Houston'" More detailed help is available by pressing the F1 key while the Filter Dialogue displays. Group Choose this item to view a listing of available Group Address books. To select a new Address Book, simply select it from the displayed list. E-Mail If you maintain e-mail addresses in your Address Book, you can use this item to send a e-mail message to the displayed entry. When selected, a menu of available e-mail carriers displays, where you can choose the intended e-mail address. See your Systems Administrator if you do not know if your system is set up for remote e-mail communications. Sort To re-order ConnectivEmail's Address Book, choose this option. You are presented with a menu of available sort fields. Choose the desired sort field, and your Address Book will be ordered based on your selection. Any Find command using the current index will use this sort order for locating text. {ROLOFIND} Search Address Book Use ConnectivEmail's Find Button to quickly locate a particular record in your Address Book file. When selected you are presented with a data entry box, where you can type the text you want to locate. You can choose between two different sort types: Indexed and Full Text. Current Index ßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßß Your Address Book always uses an open index file to quickly sort and search records. This index is ordered in your choice of sort orders, such as Last Name, First Name, Company, etc. When you perform a search using the Current Index, you are telling ConnectivEmail to search the index when locating a record. Therefore, if your Address Book is currently sorted by Last Name, the Last Name index will be searched for the text you type in the Find Dialogue. To choose a different index to search, change your Sort Order by pressing the + keys while viewing your Address Book data, or by choosing the appropriate option from the Options menu. Full Text ßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßß If you do not want to search the current open index for information in your Address Book, you can tell ConnectivEmail to perform a "Full Text" search by selecting this option. A Full Text search differs from an indexed search in that it browses the data in your Address Book sequentially. When a Full Text search is performed, ConnectivEmail goes up to the top of the data, looks at each record in the database, then searches all fields in the record for the text you supply in the search field. Since the open index is not used to locate the text, the text for which you are searching can be located in any field. Although significantly slower than indexed searching, Full Text searching can be useful to locate information typed in the Notes field, or in fields that cannot be used as a primary sort criteria. {GETLINE} Data Entry Type your text in the space provided. Button Description ßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßßß OK Complete the text entry and accept. Choose this button when you have completed the task at hand and are ready to proceed. Cancel Choose this button to cancel the text entry. {FONELIST} Telephone Inbox Displayed is a listing of telephone messages other users have sent to you. Using the available buttons and keys, you can read, forward, print and even move your telephone messages into your Address Book for permanent storage.
